Student Accounts 

UCA Network USERID and email accounts are provided for students use while they are active students at the university. 

For a student who graduates, their Banner student record is inactivated one academic term after their graduation date (unless they apply and are re-admitted to another academic program at UCA):

  • A Spring graduate’s student record is set to inactive for Summer
  • A Fall graduate’s student record is set to inactive for Spring
  • A Summer graduate’s student record is set to inactive for Fall

 

For a student who failed to enroll in any classes in a term or is unenrolled from all their classes for the term for any reason on or before the eleventh day of the term, their Banner student record will automatically be set to an inactive status on the eleventh day of that term.   

  • The Registrar reserves the right to deactivate a student in Banner at their discretion at any time based on individual student circumstances.

 

As a courtesy, IT will leave the student’s UCA network userid and email account active for one year after their Banner student record is inactivated.  After one year, the UCA network accounts will be removed unless the student has been readmitted to UCA. 

  • The student network account removal process normally occurs once a term around the eleventh day of the term.    

 

  • IT reserves the right to deactivate a student network account at their discretion at any time after the student record is inactivated based on individual student circumstances.
  • Students may still access their information in Self-service using their student ID and PIN number after their network accounts have been deactivated.

 

Faculty/Staff Accounts 

UCA Network USERID and email accounts are provided for faculty and staff use while they are active employees at the university. 

Upon receiving a proper notification from UCA Human Resources regarding an individual’s termination of employment, the employee’s network account (and access to all associated services including by not limited to network and pool drives; learning management system; and ERP system; VPN; and email) will be disabled at close of business on the final day of employment.

 

Terminated employees may still access the relevant portions of the Employee Self Service application pertaining to payroll, tax forms, leave information, and personal information by utilizing their Banner ID number and PIN.

 

In certain emergency circumstances, including but not limited to involuntary termination or suspension; incapacitation; or death, the employee’s immediate supervisor may contact IT to request an immediate suspension of the employee’s network account

 

A request may be made in writing (email is acceptable) by a terminated employee’s immediate supervisor to the CIO of the University, to grant proxy access to the terminated employee’s network account to another active UCA employee to ensure continuity of services and avoid lapses in communication to the university. This access may include local computer access; network drive and pool drive access; and/or email access. 

 

As a courtesy, employees who retire in good standing with the University, may request (with approval of their division Vice President) to retain access to their University email account beyond their last day of work.
